How to book equipment, rooms and key facilities

SiSo (Stock in, Stock out) is a powerful tool for managing, organising and booking your projects and technical work whilst you are here at UWL. Not only can you keep track of your booking but you can also add information about your project via the integrated risk assessment form (see next section). You can also keep a record of what training you have done and manage any payments you have made or need to pay.

Your username and password will be the same as your details on blackboard

This is your dashboard; here you can see your bookings tally, go to your profile, make bookings and go to your risk assessment page.

Clicking on the Menu button will bring out a side menu showing all the options and links available to you.

Hitting your name or avatar in the lower left corner (not available on the mobile site) will bring up information about you on the system and give you options to change your avatar.

To make a booking

Click on “Make Bookings”
This is where you add the dates of your booking and add equipment.

Click on ‘Collection’ and add the date and time you want to collect your equipment. Once you have done this make sure you click the ‘Done’ button.

Then add the date and time you want to return the equipment remembering that the following rules apply for most of our equipment (you can see the booking restrictions and times in the information panel, click the in the item box):

• Most used equipment (full frame DSLR, popular lenses, etc) is bookable for 5 days with a 2 day cool off period (meaning you can’t book for a following 2 days).

• Some very sought after and specialist equipment will be restricted to 3 days with a 2 day cool off period.

• Other equipment is bookable for 7 days with a 1 day cool off period.
• Rooms and static equipment (such as printers) have other time constraints attached to

them (please see the specialist technician for these resources).

Time is measured in hours so a booking taken at a specific time on one day must be brought back at the same time on the maximum day (i.e. 5 day booking, taken Wednesday 10am must be back Monday 10am). The system won’t allow bookings when the store is closed.

Once you have added your return time and date make sure you click the ‘Done’ button.

Now click on ‘Search Assets’.

You can either search for equipment by typing in the name of the item e.g. Tripod, Canon, Sony or click on one of the categories available to you.

If you wish to go back, either click on the X at the top of the categories, click on one of the parent sections on the crumb trail to the right of the X symbol, or use the navigation tools on the left hand side – hitting the back button on your browser will also take you back to the last state (usually parent category).

If there is an issue where the equipment listed cannot be booked you will see a button that says ‘Resolve’ (usually this is either because the equipment has different booking restrictions for the times you have entered, it is out on loan, or you haven’t the correct training).

You can either select a different item, change your times/dates or if you need training please see a member of the technical team and we can point you in the right direction.

You will also be able to see a ‘View Calendar’ button, if you click here you will be able to see in a calendar form other bookings made. Grey sections are when the store is not open, the clear sections are when you can book.

If the item you want has a ‘Book’ button, click on this and you will see a dialogue appear from the right.

Work down this dialogue, either adding a risk assessment that you have already written or click on the ‘New Risk Assessment’ button, choosing an assessor for your risk assessment (always try to choose an academic please), review and agree to the Store’s terms and conditions by clicking the on/off button to the right and then, when you are ready, click on the ‘Confirm’ button.

With most equipment you will need to fill out a risk assessment and have it authorised before you can take it at the store desk. For further information please see the How to Complete a Risk Assessment section.

Once you have confirmed your booking the item indicator should go green and a ‘Cancel’ button will appear.

Also you will notice on the right hand side this symbol. This is where you can review all your bookings and edit if you wish.

The heart button allows you to save your favourite items. To attach items, search or navigate the categories, click on the information button and in there under the item photo is the heart button to add it to your list.

After you have booked one piece of equipment it is simply a case of navigating around the categories or searching for other items you may want.

Please be aware that any equipment brought back after the agreed loan period will incur a fine of £6 per item, per day. This fine is to prevent equipment from being missing for subsequent bookings and other students.
